Position Summary:

Vinculum Care is seeking a highly organized, detail-oriented, and proactive Administrative Assistant to join our growing team. The Administrative Assistant will play a vital role in ensuring the smooth and efficient operation of our office, providing essential support to our management, care coordination, and recruitment efforts. This position requires excellent communication skills, a strong work ethic, and the ability to manage multiple tasks effectively in a fast-paced environment.

Key Responsibilities:

  • Office Management:

Manage and maintain office supplies, equipment, and general tidiness.

Handle incoming and outgoing mail, emails, and phone calls, directing inquiries appropriately.

Maintain organized filing systems (physical and digital) and confidential records.

Schedule and coordinate meetings, appointments, and travel arrangements for staff.

Prepare and distribute memos, letters, reports, and other documents.

Support to Care Coordination:

Assist with scheduling and coordination of caregiver assignments.

Help maintain client and caregiver databases, ensuring accuracy and completeness.

Facilitate communication between clients, caregivers, and internal staff.

  • Recruitment and Training Support:

    • Assist with the onboarding process for new caregivers, including preparing paperwork and coordinating training schedules.

    • Maintain training records and certifications for all caregivers.

    • Support recruitment activities by posting job openings, scheduling interviews, and communicating with applicants.

  • Financial and Administrative Support:

    • Assist with basic bookkeeping tasks, such as invoice processing and expense tracking.

    • Prepare and process various forms and applications.

    • Perform data entry and maintain accurate records in relevant systems.

  • General Support:

    • Provide administrative support to management and other departments as needed.

    • Handle sensitive information with discretion and confidentiality.

    • Contribute to a positive and collaborative office environment.

Qualifications:

  • High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.

  • Proven experience as an Administrative Assistant, Office Assistant, or in a similar administrative role (minimum of 2-3 years preferred).

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office software.

  • Excellent written and verbal communication skills.

  • Strong organizational and time management skills with the ability to prioritize tasks.

  • Attention to detail and problem-solving abilities.

  • Ability to work independently and as part of a team.

  • Discretion and ability to handle confidential information.

  • Prior experience in a healthcare or home care setting is a plus, but not required.
